The Process Work Institute is a non-profit educational institute devoted to vocational education, research and training in Process-oriented Psychology, also known as Processwork. PWI is a non-profit graduate school and community training organization, active in Oregon for 30+ years, and dedicated to the vision of a sustainable, flourishing, deeply democratic world that values all viewpoints and all levels of experience.  We provide awareness training for facilitators seeking to reveal the potential meaning and growth within even the most disturbing human experiences. We are a small, community driven organization experiencing a period of transition and change and are looking for an administrative assistant to support a range of activities, with the potential to grow into other roles.  

We are seeking a reliable, energetic and flexible individual to fill the role of Administrative Assistant, providing reception, administrative services, and care for the facilities. The ideal candidate will be personable, friendly, and a great communicator with excellent teamwork abilities. They will demonstrate reliable, organized, detail-oriented work habits with the ability to handle different kinds of tasks and dynamic priorities. Experience with Excel, Database Management, WordPress/website administration, Google suite, and facilities management is highly desired. Experience working in a small business, nonprofit, or educational administration is an advantage but not essential if the candidate can demonstrate transferable skills.  Ideal qualifications include an Associate’s Degree (business major an advantage) and/or at least 3 years of administrative experience.

The position starts at 20 hours per week, (approximately 4 hours per weekday by negotiation), and requires flexibility for out-of-hours activities/communication as required for building management.  Hours may be increased for the right person, and there is potential to grow into other roles within the organization.

Job Description: Administrative Assistant

This position provides high quality reception and communication via phone and email with students, faculty, and the public; maintains a secure, professional facility and grounds; maintains student and organizational records; and provides logistical and administrative support for the institute’s operations.  

Accountabilities:

  1. Provide high quality, responsive reception services in person, and by phone and email
  2. Maintain accurate student and organizational records, including tracking and document filing.
  3. Accept and process course registrations, tuition, and book sale payments
  4. Ensure clean, secure and professionally maintained facilities (oversee the cleaning contract, monitor the grounds, maintain tidy physical premises, and ensure well-stocked amenities)
  5. Coordinate room rentals and provide facilities support including room set-up, organize event catering, building key management, maintain online calendar, monitor and distribute technology resources
  6. Other administrative tasks and projects as assigned

  • This position reports to the Dean.

Compensation:

$15 – 18 per hour, with the potential to grow into other roles within the organization

This position starts at 20 hours/week and includes vacation and sick pay. Health benefits are not included at this time. Employees may work 4 or 5 days per week, hours are required during the bulk of the daytime operation hours (10-AM to 6 PM) but require flexibility for occasional out-of hours communication and program facilitation. Additional hours are authorized as needed for various projects.
